Bookkeeping Small Business

How Much Does a Bookkeeper Cost in the UK?

One of the first questions business owners ask when considering a bookkeeper is how much it will cost. The honest answer is that it depends on your business, but there are clear ranges you can expect and factors that determine where you fall within them.

Typical bookkeeping costs in the UK

Most UK bookkeepers charge either a fixed monthly fee or an hourly rate. Here is what you can typically expect in 2026:

Fixed monthly packages:

  • Sole traders with simple records: 50 to 100 pounds per month
  • Small businesses with a few employees: 100 to 250 pounds per month
  • Growing businesses with payroll, VAT and more complex needs: 250 to 500 pounds per month

Hourly rates:

  • Freelance bookkeepers: 20 to 35 pounds per hour
  • Established bookkeeping firms: 25 to 45 pounds per hour
  • Specialist or qualified bookkeepers (AAT, ICB): 30 to 50 pounds per hour

These are broad UK figures. Rates vary by location, complexity and the experience of the bookkeeper.

What affects the price?

Several factors determine what you will pay:

Volume of transactions. A business processing 50 transactions per month is less work than one processing 500. More transactions means more time, which means higher fees.

Services included. Basic bookkeeping (recording transactions and bank reconciliation) costs less than a full service including payroll, VAT returns, CIS and management accounts. Make sure you are comparing like for like when getting quotes.

Frequency. Weekly bookkeeping costs more than monthly because there are more touchpoints. Most small businesses work well with monthly bookkeeping unless they have high transaction volumes.

Current state of your records. If your books are behind or have never been set up properly, there will be a one-off cost to bring them up to date. Once caught up, the ongoing monthly fee will be lower.

Software and setup. Some bookkeepers include software costs in their fee, others do not. Ask what is and is not included.

Is a bookkeeper worth it?

This is really the question that matters. Here is how to think about it:

Your time has a value. If you spend 5 hours a month on bookkeeping and your time is worth 30 pounds per hour to your business, that is 150 pounds of your time. If a bookkeeper charges 120 pounds to do it more accurately and in less time, you are ahead.

Mistakes are expensive. Incorrect VAT returns can result in penalties. Missed payroll deadlines affect your employees and your reputation. Messy records make your accountant’s year-end work slower and more expensive. A bookkeeper prevents all of this.

Peace of mind is real. Most of our clients tell us the biggest benefit is not the time saved but the fact that they have stopped worrying about whether their records are right. That mental load is worth something.

Outsourcing vs doing it yourself

Many business owners start by doing their own bookkeeping. It works for a while, but as the business grows, it becomes a time drain. The common tipping points are:

  • Taking on your first employee (payroll becomes a legal requirement)
  • Registering for VAT (quarterly returns with deadlines and penalties)
  • Realising your records are behind or inaccurate
  • Your accountant telling you your books need tidying up

When any of these happen, outsourcing to a bookkeeping service is usually the right move.

Outsourcing vs hiring in-house

For most small businesses, hiring a full-time bookkeeper is significantly more expensive than outsourcing. A salaried bookkeeper in the UK earns between 22,000 and 28,000 pounds per year. Once you add employer National Insurance, pension contributions, holiday pay and sick pay, the total cost is closer to 28,000 to 35,000 pounds.

Outsourcing to a bookkeeping firm for 150 to 300 pounds per month costs 1,800 to 3,600 pounds per year. That is roughly 10 percent of the cost of an employee.

In-house makes sense for larger businesses with complex, daily bookkeeping needs. For everyone else, outsourcing wins.

How to get an accurate quote

The best way to find out what bookkeeping will cost for your specific business is to speak to a bookkeeper directly. A good firm will:

  • Ask about your business, your transaction volume and what services you need
  • Give you a clear, fixed monthly quote with no hidden fees
  • Explain exactly what is and is not included
  • Not pressure you into signing up on the spot
